Before and after

From Friday chasing to reminders that send themselves.

Before17:00 · Not done

  • Someone checks the aged debtors list when they get a spare hour.
  • Each reminder is written by hand, so the awkward ones get put off.
  • Promises to pay live in someone’s head or on a sticky note.
  • Nobody is quite sure which invoices have already been chased.

After17:00 · Done

  • Overdue invoices are checked every morning against your accounts software.
  • Reminders go out on a schedule you set, in your tone, from your own email address.
  • Replies are read and logged, and a promised payment date pauses the chasing.
  • Paid invoices are marked off and you get a short weekly summary.

What stays with you. You decide the schedule, the tone and when an account moves to a phone call or a formal letter. Anything unusual comes straight to you.

How it works

How the workflow runs.

We build it inside the tools you already use, test it on real work, then switch it on.

  1. 01Every morning

    We check what’s overdue.

The workflow reads your accounts software and lists every invoice past its due date, with how late it is and who it’s with.

  2. 02On your schedule

Reminders go out from your inbox.

A friendly nudge first, a firmer one later, each written in your tone and sent from your own address so replies come back to you.

  3. 03As it happens

    Replies and payments are tracked.

Replies are logged, promised dates pause the chasing, and payments are matched so nobody is chased for a bill they’ve paid.

FAQ

Invoice chasing: straight answers.

Anything else, ask on the call or message us on WhatsApp.

Can you automate invoice reminders in Xero?

Yes. Xero has basic reminders built in, and we build on top of them: reminders sent from your own inbox in your tone, replies logged, promised payment dates respected and a weekly summary of who still owes what.

Will automated reminders upset my customers?

Not if they read like you wrote them. We write the sequence with you, start polite, stop the moment someone pays or replies, and pass anything sensitive to you instead of sending another reminder.

What happens when a customer replies?

The reply lands in your inbox as normal. The workflow reads it, logs any promised payment date and pauses the chasing for that invoice. Disputes and questions are flagged for you to answer.

Is this the same as credit control software?

It does the same core job without a new platform. Credit control software adds another login; we build the chasing inside the accounts software and inbox you already use, so your team has nothing new to learn.

How much does it cost?

The audit is free, and so is the 90 day pilot. Before we build, we agree an hours target and the monthly price in writing. If the workflow hits the target by day 90, it stays on at that price. If it doesn’t, you owe nothing.
